Choosing a wedding venue is exciting. It also shapes the practical side of your entertainment: where guests gather, how they move between rooms, where the DJ can set up and when the evening music can start. A useful wedding DJ quote should reflect the actual venue, date and timetable rather than a generic picture of a wedding.

Start with the room and the running order

Ask which space is used for the ceremony, wedding breakfast and evening reception. If the room changes, confirm when suppliers can get in and whether equipment can remain in place. A five-hour evening DJ set is different from all-day wedding support for ceremony music, speeches and the party. Our wedding packages show those options and their standard prices.

Share your planned guest arrival, meal, speeches, first dance and finish times. We can then recommend an arrival and setup window. Venue staff may need time to turn a room around after dinner; the DJ’s access should fit that schedule.

What to ask the venue before choosing extras

  • Access: Where do suppliers unload, and are there stairs, lifts or long walks to the reception room?
  • Space and power: Where may the DJ booth, Magic Mirror, letters and dance floor go? What power points are available?
  • Sound and finish time: Are there sound limits, in-house systems or a set music curfew?
  • Effects: Does the venue allow confetti or low-lying cloud effects, and are there fire-alarm or cleaning restrictions?
  • Outdoor moments: What is the wet-weather plan for a ceremony or drinks reception outside?

These questions protect the flow of the day. For example, a dance floor should suit the room rather than block the entrance or leave too little space for guests. A Magic Mirror needs a position with guest access and safe circulation. Confetti and cloud effects should only be included once the venue has approved them.

Sussex venues call for different plans

An Eastbourne hotel reception, a Rye town-centre venue, a woodland celebration and a corporate event space have different layouts. Our Sussex venues and suppliers guide separates confirmed supplier relationships and our event experience from other venues couples ask about. It covers hotel, barn, historic, woodland and private-event settings across East and West Sussex, with links to the venues’ own sites where available.

Being familiar with a venue is useful, but it does not replace a current check of access, room rules, availability and your specific timings. Tell us the precise room or venue contact if you have it.

Sussex wedding venue DJ & entertainment checklist

Take these questions to your venue visit, or share this page with your wedding coordinator. Keep the answers in one set of planning notes so your venue, DJ and other suppliers can work from the same arrangements.

  1. Where does each part of the day happen? Note the rooms or outdoor spaces for the ceremony, drinks, meal, speeches and evening party. Identify which moments need music or microphones.
  2. When can the DJ set up? Confirm unloading, supplier access, room-changeover and setup-completion times, alongside the first dance, music finish and collection times.
  3. What is the access route? Check parking, loading areas, stairs, lifts and the distance to the reception space. Share any delivery restrictions before equipment is booked.
  4. Where is suitable power available? Ask the venue to identify the approved power points and any supply restrictions for the proposed setup.
  5. What are the sound rules? Ask about sound limiters, volume restrictions, outdoor music and the evening curfew. Give the DJ the venue’s current written requirements.
  6. What equipment is already included? Check the venue’s dance floor, speakers, microphones and lighting. Confirm what suppliers may use and who operates it before adding duplicate equipment.
  7. Where will the DJ and dance floor go? Agree a room plan with enough space for dancing, access and clear routes for guests and venue staff.
  8. Where will photo entertainment and letters sit? Plan a suitable position for the Magic Mirror, props, prints and light-up letters without obstructing entrances or guest circulation.
  9. Are special effects permitted? Confirm the venue’s requirements for confetti or Dancing on Clouds, including alarms, cleaning and any extra charges. Agree effects before adding them to the plan.
  10. What is the outdoor fallback? Agree the indoor or covered alternative, suitable power, the decision time and who tells suppliers if weather changes the plan.
  11. How will music and live performances fit together? Record the first dance, must-play and do-not-play choices, announcements and final song. Share band, saxophonist or other musician set times.
  12. Who signs off the final plan? Name the venue’s event-day contact and agree when the timetable, layout, setup requirements and supplier responsibilities will be confirmed.

Build a clear music brief

For venue-specific timings, try our Sussex wedding music finish-time finder and party planner. It separates music cutoff from guest departure and helps you allow for speeches and planned pauses.

You do not need to prescribe every track. A first-dance choice, a handful of must-plays, songs to avoid and the mix of styles your guests enjoy give the DJ a good starting point. If you have a band or live musician, share their set times so the evening can flow between performances. Our package page shows the standard options and 20% deposit examples. Send your date, venue and priorities, and we will email a personal chooser for your package and extras. We check availability and confirm your final proposal and payment requirements before booking.

For a quote, send the date, venue, reception space, planned timings and the services you are considering. We can then make the equipment and music plan fit your day.
